Privacy Policy

Last updated: August 11, 2026

SynVertex ("SynVertex", "we", "us", or "our") operates this website and the associated client, candidate, and admin portals (together, the "Services"). This Privacy Policy explains what personal data we collect, how we use it, and the choices you have. By using the Services, you agree to the practices described here.

1. Information we collect

Account information. When you sign up as a client or candidate, we collect your name, email address, and password (stored as a salted hash, never in plain text).

Project and quote information. Service selections, add-ons, project requirements, milestones, and related details you submit through the client portal.

Messages and attachments. Content you send through the project messaging feature, including any files you attach.

Contract and signature data. If you sign a contract with us, we record your signature image, the timestamp, and the IP address used at the time of signing, and generate a signed PDF and integrity hash for the record.

Careers information. If you apply for a role, we collect your resume/CV, cover note, and application status history.

Payment information. When you make a payment, our payment processors (see Section 4) handle your card or account details directly. We store only the payment amount, status, and a reference ID — we do not store full card numbers.

Usage data. Standard technical data such as IP address, browser type, and pages visited, collected automatically as you use the Services.

Newsletter. If you subscribe via the footer form, we collect your email address to send updates.

2. How we use your information

  • To create and manage your account and authenticate your sessions.
  • To prepare quotes, contracts, invoices, and deliver the services you request.
  • To process payments and deposits through our payment providers.
  • To communicate with you about your project, application, or account.
  • To review job applications and manage the hiring process.
  • To maintain the security and integrity of the Services, including fraud prevention.
  • To send you product updates or newsletters, where you have opted in.
  • To comply with legal obligations and enforce our Terms & Conditions.

3. Cookies and similar technologies

We use a small number of cookies that are necessary for the Services to function — most notably an httpOnly refresh-token cookie used to keep you signed in to the client, candidate, or admin portal. We do not use third-party advertising or tracking cookies.

4. How we share your information

We do not sell your personal data. We share information only in the following circumstances:

  • Payment processors (such as Stripe, and local payment gateways for Pakistan-based clients) to process payments and deposits.
  • Service providers who help us operate the Services, such as our hosting and database infrastructure providers, under confidentiality obligations.
  • Internal staff and administrators at SynVertex, on a need-to-know basis, to deliver and manage your project or application.
  • Legal or regulatory authorities, where required by law or to protect our rights, users, or the public.

5. Data retention

We retain personal data for as long as your account is active or as needed to provide the Services, comply with legal obligations (including tax and contract record-keeping requirements), resolve disputes, and enforce our agreements. Signed contracts and related records are retained for the period required by applicable law.

6. Data security

We apply reasonable technical and organizational measures to protect your data, including password hashing, role-based access controls, and encrypted connections. No system is completely secure, and we cannot guarantee absolute security of information transmitted to us.

7. Your rights and choices

  • You may access, correct, or request deletion of your account information by contacting us.
  • You may unsubscribe from newsletter emails at any time using the link in those emails.
  • You may request a copy of the personal data we hold about you.

Some information, such as signed contracts or invoices, may need to be retained even after a deletion request to meet our legal obligations.

8. Children's privacy

The Services are not directed to individuals under 18. We do not knowingly collect personal data from children.

9. Changes to this policy

We may update this Privacy Policy from time to time. Material changes will be reflected by updating the "Last updated" date above. Continued use of the Services after changes take effect constitutes acceptance of the updated policy.
